About the role
Working as part of a dynamic, responsive team you will manage the purchasing process for Hardware and Software purchases and the related invoicing process by;

  • Managing the purchase order process, track purchasing and inventory activities from request to delivery
  • Manage and build quality relationship with suppliers.
  • Liaising with key corporate and store administration personnel and act as a point of escalation for purchasing and inventory management issues.
  • Implementing demand planning for IT products to establish optimum stock levels within the HNIT warehouse.
  • Working with the Warehouse Manager you will ensure optimum stock levels within the HNIT warehouse and coordinates stock take every three months.
  • Perform monthly reconciliation between the Point-of-Sale system and the General Ledger to ensure no discrepancy in the Stock Account.
  • Manage the product catalogue within the Capital Expenditure approval process to ensure products and pricing are current and accurate.
  • Manage the invoice payment process and ensure that no invoice is paid without the appropriate supporting documentation i.e., purchase order, capex form, request, and goods receipt note.
  • Manage the billing to stores utilizing the Point-of-Sale system to ensure that HNIT recovers the cost of any product provided out of the HNIT warehouse.
  • Capture of all software licenses on purchase or renewal into the Software Asset Management Tool.
  • Capture of all hardware asset information when required and added to the hardware asset management tool.

About you
To be successful you will have proven, experience in purchase order and account payment processes, you will also have;

  • Tertiary qualification in logistics or inventory management or equivalent
  • Excellent written and oral communication skills
  • Knowledge of process improvement, documentation and information sharing processes
  • Knowledge of inventory management and logistics
  • Strong Microsoft Excel Skills
  • Intermediate knowledge of stakeholder coordination and management
  • Intermediate knowledge of IT hardware products and peripherals
  • Intermediate knowledge of point-of-sale systems, corporate and / or supply chain systems
  • Software and Hardware Asset Management skills would be of benefit.
