We have recently embarked on a journey to streamline processes, reduce technological complexity, and boost efficiency within our people management systems. This initiative will improve people data management, compliance, visibility and analytics, productivity, and employee engagement for approximately 15,000 people across Australia and New Zealand.
About the role
This is a fantastic opportunity to be part of a large scale, complex digital transformation. You will provide administrative support and assistance to the Program Manager. Your focus will be to assist the program leadership team with administrative tasks, reporting, committee meetings coordination, RAID registers coordination and minute taking.
Responsibilities include;
- Schedule meetings for various boards, steering committees and produce minutes
Collate appropriate information from stakeholders and prepare Microsoft PowerPoint decks summarising the information for meetings
- Track actions and ensure follow-up - both pre and post meetings
- Liaise with stakeholders to review updates including risks, reporting progress and potential blockers
- Support the project leadership team by processing all finance related tasks for the project
- Maintaining and updating the RAID register and program status dashboards
About you
While prior experience in a similar project-based role is ideal, it is not a requirement. To be successful you will be a true go-getter. Someone who jumps at the chance to organise and coordinate activities. You will also have;
- Experience coordinating administration for large programs or Project Management Offices (PMO's) including reporting, RAID, resource management, meeting management and project documentation management
- Organisational, time-management, and communication skills
- Strong communication skills with confidence to communicate with all levels
- Ability to build relationships & communicate effectively at all levels
- Excellent attention to detail and ability to track and monitor large volumes of work coupled with the ability to problem solve and decision make when required
- Experience using MS tools, specifically Excel and PowerPoint
